Student Volunteer Application Form

This form is provided as a sample for you to see what you are expected to include in your submission. You are not permitted to submit this form. An identical form is available for you to submit once you sign in or create an account.

This form is for applicants to the Students@SC Volunteers program. You can save an unfinished draft by using the “Save as Draft” button at the bottom of the page. Your application will not be evaluated until you use the "Submit as Completed" button.

By submitting your application, you agree to the following:

  • Student volunteers are required to arrive the Saturday before the conference for orientation and must attend the entire conference (Sunday–Friday). Student Lead Volunteers and SciNet student volunteers are required to arrive earlier.
  • Students are required to work 20 hours for the conference.
  • Students are required to pay a reduced conference registration fee of $150 by September 1, 2024.
  • Students are required to apply for a Visa (if needed) as soon as you are notified of your acceptance into the program.
  • The conference provides students with a shared hotel room for the duration of the conference.
Travel funding is not provided by the conference, although limited travel grants are available. Students are highly encouraged to seek travel support from their home institution or through other sources. Several suggestions for finding funding opportunities can be found in our FAQ.

Involvement with Student Cluster Competition
SCinet
SCinet will be working at the Convention Center for two weeks (setup, show, teardown). The team is primarily responsible for setting up the networking infrastructure for the conference. Students who volunteer for SCinet will be expected to arrive on Sunday, November 7th and stay through Saturday, November 20th. Students that work with SCinet are required to work the full two weeks.

Travel Planning Guidance

Travel Planning and Coordination

Regular Student Volunteers must arrive at the Atlanta Convention Center for orientation on Saturday, November 16, 2024 no later than 1:00 pm Central Standard Time (EST). We strongly recommend booking a flight that lands by 11:00am EST to allow sufficient time for customs (if necessary), baggage claim, and local transportation to downtown. You are expected to stay the entire conference, and are you should expect to volunteer until noon EST on Friday, November 22, 2024.

SCient Student Volunteers must arrive on Sunday, November 10, 2024 and stay through Saturday, November 23, 2024.

Hotel Accommodation and Rules

Student volunteers are expected to attend for the entire duration of the conference and are required to stay in the provided conference hotel. SC24 will make the reservations at the hotel. Do not contact the hotel directly. The conference will pay for hotel accommodations on these dates only. If you arrive or depart outside of these dates, your hotel accommodations are your responsibility.

Other items to note:

  • The hotel will require a credit card upon check-in to cover incidentals.
  • SC24 will not cover any other charges to the hotel room (incidentals), including but not limited to room service, parking, movies, etc.
  • Students will be placed in a room with another student of the same gender.
    • Special circumstances may be accommodated. Accepted individuals who have special needs should contact the Student Volunteers program chair as early as possible to discuss possible arrangements.

Other Expenses

Please note that ground transportation between your hotel and convention events will be provided if the hotel is not within walking distance of the activity but other ground transportation costs (e.g, to/from your local airport and between the Denver airport and the hotel) are not covered by the conference. Meals, except for breakfast at the hotel and specific social events, are not covered by the conference so you will need to cover these costs.

The SC Conference offers limited travel support to those student volunteers who need it. If you would like to request travel support through the SC Conference, please indicate that in your response below and additional information will be provided to you regarding the Student Travel Funding Commitment Form.

Student Travel Funding Commitment Form Information

All Student Volunteers applicants requesting travel assistance from the SC24 conference must have someone from your institution (e.g. academic advisor, research advisor, department head, director of graduate or undergraduate studies or student coordinator) complete the Student Travel Funding Commitment Form. Please supply the name of the person to whom this form should be sent.

Note that this person will be contacted by email as soon as you save this submission (either as a draft or as completed). If you are not ready for them to be contacted, do not fill out their email address yet. You’ll still be able to save the application as a draft.
